Position Summary:
The Accounting Specialist will assist in ensuring that the company receives payment for goods and services offered to clients. Primarily responsible for the timely and accurate day-to-day administration and processing of accounts receivable functions within the Company. This role will assist in providing accounting support to the Controller in multiple areas, including general ledger responsibilities. Demonstrates accounting knowledge and understanding, and ability to apply accounting knowledge to daily work.

Principal Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The attributes listed below are representative of the knowledge, skill, and ability appropriate for the level of work performed.

Primary Responsibilities:

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable
  • Creates invoices according to company practices; submits invoices to customers
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions
  • Performs timely collection notice of again receivables
  • Investigates and resolves questions or discrepancies with customers and internal project managers
  • Records approved contract change orders and maintains project money files
  • Works closely with Project Managers, Design, and Environments staff to properly set up projects in software and timely recording of revenue recognition
  • Supports controller in month-end close process by preparing and recording journal entries as designated, bank reconciliation, special projects as needed, and any other work to support a timely month-end close
  • Provides support during year-end audit process
  • Maintains records of fixed assets including depreciation, acquisition, and disposal of assets for the company and its affiliates
  • Process weekly payroll and all associated payroll reporting
  • Performs other related duties as assigned to fulfill the responsibilities of the position

Required Skills/Abilities:

  • Performs at an intermediate level under prescribed procedures and accounting practices
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier
  • Ability to work independently and in a fast-paced environment
  • Ability to anticipate work needs and interact professionally with customers
  • Excellent organizational skills and attention to detail
  • Knowledge of accounts payable

Education and Experience:

  • Associates degree in accounting, or
  • At least two - four years of related experience required
  • Industry experience preferred

  • Prolonged periods sitting at a desk and working on a computer

Working Conditions:
In a typical 8 hour work day, employee will usually; sit at least six hours, stand at least one hour and walk at least one hour. Employee's job requires occasionally to; bend/stoop, squat/crawl, climb 30-60 ft., reach above shoulder, crouch/kneel, balance, push/pull, lift/carry up to 50 pounds, exposure to marked changes in temperature and humidity, exposure to dust, fumes, gases and noise sometimes over 85 DBA and Working on open high locations. Employee's job frequently requires; using hands for repetitive action such as simple grasping and manipulating. Work hours are generally during normal business hours. However, unscheduled evening and weekend work may be necessary to meet the needs of the organization. Out-of-town and overnight business travel is occasionally required.
